We process personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”) and applicable Cyprus data protection legislation.

2. Personal data we collect

The information we collect depends on how you interact with us. It may include:

  • Contact details: your name, email address, telephone number and preferred communication method.
  • Property requirements: preferred locations, budget, property type, purchase or rental requirements, intended timeframe and other preferences you provide.
  • Property submission details: your relationship to the property, property address, description, asking price, photographs, videos, floor plans, ownership information and supporting documents.
  • Communications and service records: enquiries, correspondence, viewing arrangements, offers, feedback and records of our dealings with you.
  • Account information: registration details, saved properties, searches and preferences where you use these features.
  • Verification and transaction information: identification, authority to act, ownership and financial information where necessary for an instruction, transaction or applicable legal obligation.
  • Technical information: IP address, browser and device information, access logs and information about website use, subject to applicable cookie choices.
  • Chat information: messages, property preferences and contact details you choose to provide through our website’s AI assistant.

Please provide only information relevant to your request. Do not send sensitive personal information, identity documents or banking details through general enquiry forms or the AI assistant. Where such information is necessary, our team will explain how to provide it appropriately.

3. How we obtain personal data

We generally collect information directly from you through website forms, property submissions, accounts, telephone calls, emails, messaging services, meetings and service arrangements.

We may also receive relevant information from authorised representatives, property owners, introducing or cooperating agents, other parties involved in a proposed transaction and lawfully accessible public sources.

Where information is obtained indirectly, we provide the information required by applicable law, including information about its source, unless a lawful exception applies.

4. Why we use personal data and our lawful bases

We use personal data for the following purposes:

Enquiries and requested services

We respond to requests, identify suitable properties, arrange viewings, communicate about offers and provide estate agency services. Where applicable, this processing is necessary to take steps at your request before entering into a contract or to perform our contract with you. Otherwise, we rely on our legitimate interest in dealing with relevant enquiries and providing our services.

Property submissions and marketing instructions

We assess submitted properties, check authority to act, contact the person submitting the information and prepare agreed listings. We rely on steps requested before a contract, performance of a contract and our legitimate interests in verifying submissions and preventing unauthorised listings.

Website accounts and requested features

We process information needed to operate accounts, saved properties, searches and requested alerts, relying on performance of the requested service or our legitimate interest in providing website functionality, as applicable.

Security and business administration

We maintain systems, prevent misuse and fraud, manage records, handle complaints and establish, exercise or defend legal claims. We rely on our legitimate interests in protecting our business, users and legal rights, or on legal obligations where applicable.

Legal compliance

We process information necessary to meet applicable verification, anti-money laundering, accounting, regulatory and other legal obligations.

Optional marketing and tracking

We rely on consent where required for promotional communications and non-essential cookies or similar technologies. Any applicable statutory exception for electronic marketing is used only where its conditions are satisfied.

When relying on legitimate interests, we consider your rights, reasonable expectations and the effect of the processing on your privacy.

Mandatory form fields are identified where relevant. If you do not provide information necessary for a request, service or legal requirement, we may be unable to proceed. Optional information is provided at your discretion.

5. Submitting a property and publishing listings

Submitting a property through our website sends a request to our team for review. Submission does not automatically publish a listing or create an estate agency agreement.

We use the information to assess the request, verify relevant details and discuss the proposed instruction with you.

Before publication, we agree which property information and media may be used and the relevant marketing channels. Public listings may include agreed descriptions, photographs, videos, pricing and location information.

Supporting documents submitted privately are not automatically published. They are used only as necessary for review, verification, the relevant service or a legal requirement.

You should submit information and media only where you are entitled to do so. Please remove unnecessary personal details, including visible identification documents, signatures, family photographs and information identifying occupants or other individuals.

Public information may be indexed by search engines or copied by others. Removing a listing from our website does not necessarily remove independent copies immediately. This does not affect your statutory rights.

6. Marketing communications

Communications about your enquiry, submitted property or ongoing instruction are separate from general promotional communications.

Where we request consent for marketing, it is optional and separate from your service request. Refusing marketing consent does not prevent us from dealing with your enquiry.

You can unsubscribe using the facility provided or by emailing info@intermproperties.com.

You may object to direct marketing at any time. We will stop using your information for that purpose. We may retain a minimal suppression record to ensure that your preference is respected.

7. Who may receive your information?

We disclose personal data only where necessary and supported by an appropriate lawful basis. Recipients may include:

  • Authorised staff and agents handling your enquiry or instruction.
  • Providers supporting our hosting, website, CRM, AI assistant, email, communications, storage, security and related business systems.
  • Relevant buyers, sellers, landlords, tenants, representatives and cooperating agents involved in an authorised property service.
  • Property portals and advertising channels included in an agreed marketing instruction.
  • Professional advisers, auditors and insurers where necessary.
  • Courts, regulators, law enforcement bodies and other competent authorities where disclosure is required or otherwise lawfully justified.

Private contact details and supporting documents are not automatically included in public listings.

Providers acting as processors on our behalf are subject to appropriate contractual obligations. Recipients acting as independent controllers are responsible for their own processing.

Common ownership, management or business connections do not, by themselves, authorise sharing your information with another business. Any referral or sharing requires an appropriate lawful basis and relevant transparency.

8. AI assistant

Our website provides an AI assistant to help you search for properties and obtain general information about our services.

When you use the assistant, we process your messages, property preferences and any contact details you choose to provide to respond to your enquiry, suggest relevant properties and facilitate follow-up by our team. Relevant information may be recorded in our CRM and processed by technology providers supporting the assistant.

Where applicable, this processing is necessary to take steps at your request before entering into a contract. Otherwise, we rely on our legitimate interest in responding to enquiries and providing property search assistance.

AI-generated responses may contain inaccuracies or outdated information. Please confirm property availability, prices and other material details directly with our team before relying on them. Responses do not constitute legal, tax, financial or professional valuation advice.

Please avoid entering identity documents, banking details, passwords or sensitive personal information into the assistant.

You may contact our team directly instead of using the assistant. For assistance or to exercise your data protection rights, email info@intermproperties.com.

9. International transfers

Where personal data is transferred outside the European Economic Area, including through overseas hosting, support access or service providers, we apply the safeguards required by applicable data protection law.

Depending on the destination and recipient, these may include a European Commission adequacy decision or approved Standard Contractual Clauses, together with additional measures where necessary.

You may contact info@intermproperties.com for information about relevant transfers and safeguards, including how to obtain a copy of applicable safeguards, subject to appropriate protection of confidential information.

10. How long we retain personal data

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, taking account of our relationship with you, applicable legal obligations and the need to establish, exercise or defend legal claims.

In particular:

  • Enquiries and unsuccessful submissions: information is retained for the time reasonably needed to resolve the request and conclude relevant follow-up, after which it is deleted or anonymised unless another documented purpose justifies retention.
  • Active instructions and transaction records: information is retained for the duration of the service and afterwards where necessary to meet applicable statutory recordkeeping requirements or establish, exercise or defend legal claims.
  • Accounts and saved preferences: information is retained while the account or feature remains in use, followed by deletion in accordance with applicable account closure and inactivity procedures, subject to justified legal retention.
  • Marketing records: information is retained while the relevant permission or other lawful basis remains valid, subject to periodic review and your withdrawal or objection.
  • Security logs and chat records: information is retained for the period necessary for the relevant operational, security and enquiry-handling purposes.
  • Suppression records: minimal information is retained for as long as necessary to respect an objection or unsubscribe request.

Relevant legal obligations or an actual or reasonably anticipated dispute may require longer retention. Backup copies expire through the applicable backup rotation and deletion process.

11. Cookies and similar technologies

Our website may use cookies and similar technologies for essential functionality, preferences, analytics and advertising.

Strictly necessary technologies may operate without consent where permitted by law. Technologies requiring consent remain inactive until you agree.

You can accept, reject or manage optional technologies through our cookie controls and change your preferences through “Cookie settings”.

Our separate Cookie Policy provides details of the technologies used, including their providers, purposes and durations.

12. Your data protection rights

Subject to applicable legal conditions and exceptions, you may:

  • Request access to your personal data and a copy of it.
  • Request correction of inaccurate or incomplete information.
  • Request erasure of your information.
  • Request restriction of processing.
  • Receive qualifying information in a portable format.
  • Object to processing based on legitimate interests on grounds relating to your particular situation.
  • Object to direct marketing at any time.
  • Withdraw consent where processing relies on consent.
  • Exercise applicable rights relating to solely automated decisions producing legal or similarly significant effects.

Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

Send requests to info@intermproperties.com. We may request proportionate information to verify your identity.

We respond without undue delay and normally within one month. Where a lawful extension is necessary because of the complexity or number of requests, we will notify you within the initial month and explain the reasons.

You may complain to the Cyprus Commissioner for Personal Data Protection at commissioner@dataprotection.gov.cy, or to another competent supervisory authority. You do not have to contact us first.

13. Security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised access, alteration, disclosure, loss or destruction.

Access is restricted according to business need. No method of transmission or storage is completely secure, and our security measures are reviewed in light of relevant risks.

14. External services

Our website may link to external websites, property platforms, social networks or messaging services.

When you interact directly with those services, their operators may process personal data under their own privacy notices. We remain responsible for ensuring that any disclosure we make to them is lawful.

15. Changes to this notice

We may update this notice to reflect changes in our services, processing or legal obligations. The latest version will appear on this page with its update date. Where required, we will separately communicate material changes.
